Why Is My Office 365 Running Slow?

More and more organizations are moving to cloud applications, especially Microsoft’s suite of productivity apps Microsoft 365, previously known as Office 365. However, making the switch isn’t always a smooth transition, and even those who have been using Office 365 for some time might occasionally find that their programs aren’t running at top speeds.

Is your Microsoft 365 / Office 365 running slow? Thankfully, troubleshooting is usually a straightforward process—the five reasons below are some of the most common causes of slow Office 365 speeds.

1. Inadequate Network Capability

When offices first make the switch to cloud applications, some find that their existing network isn’t quite ready to migrate with them. In some cases, Office 365 may be running slow due to network inadequacies.

Microsoft clearly outlines the network requirements to keep Office 365 running at top-notch speeds. However, the job’s not done after an initial assessment of a network’s capabilities—network maintenance is critical, too. Because the properties of a network are always changing, perform regular surveillance of the network to identify other apps which may be hogging bandwidth.

2. Poor Internet Connection

Sometimes, Office 365 running slow is as simple as having a poor internet connection. Because Office 365 is designed to run in the cloud (despite it being installed locally on individual devices), an unreliable connection to the internet can majorly affect its operation speeds.

Offices should regularly assess their internet speeds to determine whether their internet service provider is delivering the best of the best and that internet congestion isn’t affecting the performance of office devices.

3. Low Computer Memory or Storage Space

Sometimes, Microsoft Office 365 applications are prevented from running at their top speeds due to a problem with the individual machine in use. When the underlying cause of Office 365 running slow isn’t a widespread issue caused by a network problem or faulty internet connection, investigate the computer in question.

Installing more memory is often one of the most effective solutions allowing the device to deliver better performance and higher overall speeds.

If there’s little space left on the hard drive, consider clearing temporary caches, removing unused programs, or moving large volumes of files to cloud storage to keep the drive free and allow Office 365 more space to do its work.

4. Malware

If the computer with a slow Microsoft 365 suite isn’t low on memory, make sure to run a malware check. Microsoft suggests checking for malware as one of the first troubleshooting methods toward attaining a faster Office 365.

In many cases, malware may be the root cause of the problem, causing a computer to run sluggishly and hindering the performance of Office 365 and other installed programs. Regular malware scans and safe internet browsing practices are essential to preventing malware from infecting a system.

5. Non-Optimised Browser

Finally, those using Office 365 from their internet browser might experience slow speeds simply because they’re not using their browser in a way that’s conducive to well-running web applications.

Generally, it’s good practice to avoid downloading excessive browser add-ons which may hinder a browser’s performance and keep it from operating at top speeds. Users may also want to increase the size of the cache which holds temporary internet files or, at the very least, empty this cache on a regular basis.

Also, learning to properly manage large numbers of files in Office 365 can do wonders to keep a browser running at optimal speeds.

In some cases, Office 365 may run slow despite conscientious troubleshooting. When this is the case, contact Microsoft’s support to detail the problem so that their crew can have the Office 365 suite of apps up and running at their maximum potential.
